How to Move Beyond Old Patterns in Conversation

Have you ever noticed patterns of communication in groups you spend time with?

Are there certain people you feel like you have really productive and enjoyable conversations with? How about the other end of the spectrum; you know when you get into a discussion with a particular group of people that it will inevitably be frustrating or murky?

During Kelvy Bird’s Visual Practice Workshop earlier this year, she shared a model called the Four Players in Conversation, developed by David Kantor. The premise is that in every conversation, people play one of four roles:

Move: to initiate, set direction

Follow: to support and complete an initiative

Oppose: to challenge and correct

Bystand: to witness and offer perspective

Which Player do you tend to embody? What kinds of questions or statements are you making? How is that affecting the group and conversation?

Personally, I tend to gravitate away from the role of the Opposer, but during the workshop someone offered a perspective that fundamentally shifted my negative association with it. They clarified that to Oppose does not necessarily mean to be aggressive or contrary, rather it creates a space for questions and critical thinking if approached in a compassionate way.

As a graphic recorder, this lens is an area I’m stretching myself to leverage more to better support the groups I’m working with. How can what I capture solidify or open the conversation to serve the group and their goals? Which Players are being heard, and which are absent? What does this mean for the group? For the graphic?

Who Can Help Your Team Surface Shared Values?

I love getting to collaborate with a lot of different groups of people working toward many different goals. Most of these groups contain people who have different worldviews, perspectives, ways of thinking.

Sometimes it's challenging to do meaningful work together if you think differently. That’s what leads to the most powerful teams and solutions.

But it can also be beyond frustrating. What if you can’t come to consensus? What if consensus isn’t actually a tool that will serve this group and their goals? What if your team stays surface-level because they don’t feel comfortable disagreeing? (Hint: I wrote a post about the benefits of disagreement here).

This is why groups choose to work with a graphic facilitator.

These Global Fellows Use their Differences to Protect Biodiversity Around the World

There are a lot of groups out there that are full of diverse people working toward the same goal. This diversity and breadth of perspective is sought-after, however in practice can make for difficulty when collaborating. After all, different perspectives mean different approaches, priorities, communication styles, and potentially values.

Last week I was in Medellín, Colombia for the United Nations IPBES conference on science and policy on biodiversity and ecosystem services. I had the pleasure to graphic facilitate visioning sessions with the IPBES Fellows, a group of 49 next generation researchers from 37 countries seeking to use their scientific training to influence policy to protect biodiversity.

What blew me away the most was how well this group functioned as a team while working together. Here’s what I noticed them doing during the sessions that contributed to a successful global team that was able to go above and beyond with the impact they are making because of their strength in differences.

  • It was clear they had been cultivating an environment where it was okay to disagree, change your mind, or question an idea.
  • They listened to each other seeking to understand.
  • They valued each other’s rich and diverse background informed by culture and field of study.

Next time you’re working with a group of people with different perspectives, think about how you could support and benefit from these differences to make your strategy, product, or paper that much stronger.

Medellín: While it’s history has been fraught with violence, today Medellín is a vibrant city full of the most welcoming and generous people, known as Paisas. While riding a cable car to an eco-park just outside the city, I met Marleni and her family, who were born and raised on small farms inside the park. They invited me to come see their home and treated me to some farm-fresh meals! I made a small painting of their farmhouse, Finca Juliana as a thank you. It never ceases to amaze me how good people are, and what can happen when you say “yes”!

Ways of Listening

Listening is one of those things that is consistently an area for growth in my life, both personally and professionally. I’ve written about listening tips before, and I feel fortunate that in my job it’s necessary to practice and hone my listening skills.  

For me, listening is a combination of presence, patience, staying open, authenticity, and trust. It is about being fully engaged and caring about another person, regardless of whether they’re part of your inner circle, or a presenter at a conference you’ve never met. By listening deeply, you are sharing with that person something incredibly valuable: your attention and therefore your energy.

As a graphic recorder, different situations call for different ways of listening. I have known this on a mostly subconscious level throughout my practice, however last month at the Visual Practice Workshop hosted by Kelvy Bird she shared some framing around listening that has shifted the way I approach the work for my clients.

Sometimes during rapid-fire presentations, what’s most important is to capture images that reflect the content to help people remember and engage with the ideas.

Other times it’s more important to be listening for context and how ideas relate to one another to illuminate systems or relationships.

And other times, often over longer periods of time, it’s most important to be with the group as they surface and reveal the “highest potentiality for the systems we serve”. This might be ideas that are fuzzy or still developing, or to be listening for what is not being said. This requires presence, a whole-body experience tuning into not only the mind but also intuition and empathy.

Something I love most about graphic recording is that I’m always learning, continually improving. It’s never boring, that’s for sure. And it’s also never perfect. But that’s the wonderful bit about being human, the imperfection keeps things interesting.

So here’s to practicing and deepening our listening together.

ConverSketch is Six!

This week marks the sixth year since ConverSketch first came into the world wielding markers, chalks and insights.

Each year I enjoy putting together some of the top lessons or patterns emerging in my world (here’s the link to last year’s, and the year before that). This year I’m taking a slightly different approach, sharing insights and areas I intend to explore more in the coming months.

Three of my biggest insights this year:

  • Cultivate Intuition. Whether it’s trusting I know what’s most important to capture while graphic recording or making decisions on which direction to take my business, I know that listening to my intuition leads me to where I need to be. This is a consistent thread I find myself returning to over and over again.
  •  I’m a Thought Partner. More than only a fun diversion at a conference, I have found most joy and positive impact with my clients when I approach the work as a Thought Partner bringing deep value to their team and goals.
  • Relationship-Building for Success. This year in particular highlighted several groups who were new, forming, or had never worked together in person. Hosting an off-site or retreat with everyone in the same physical space underlined the power of face-to-face, human connection and relationship-building for successful events.

Three things I want to explore in the next year:

  • Listening Lenses. How can I tune my inner radio to the frequency that will best serve the group? What level of listening is most needed to do that? 
  • Weaving Story. How to I hone my skills to listen for and weave together a visual that will tell the core of the group’s story? How can I better engage with my video clients to ask the questions that will really help them tell the core of their story, and connect with their desired audiences?
  • Systems Scribing. This year I want to practice moving around, listening for different chunks of information, and using the entire sheet to map the system to bring forth connections to serve the group best.

I am in awe of the amazing groups I get to partner with. It is an honor to visualize their ideas, be trusted to listen and hold the energy of the room, and distill it into a visual map that will be carried forward to remind them of the work they’ve done and connections they’ve made.

Avoid this Meeting Pitfall

When everyone is in favor…it’s almost certain there’s confusion over what’s being decided.
— Seth Godin

This quote is the epitome of Seth Godin’s wisdom: pithy, accurate and makes sure to jump-start the reader into critical thinking. It encapsulates a common pitfall for meeting facilitators and organizers: jumping on consensus as full agreement within a group. It’s easy to ride the feel-good wave. It’s easy to take that and move on. However, it’s likely whatever is being decided on will not sustain itself long-term if it’s only buoyed by false agreement.

This is why it’s so important to repeat the goals of the day or activity multiple times. This is why it’s important to take time to cultivate an environment where it’s okay to be vulnerable or to disagree (with curiosity rather than hostility, thank you very much CPD!).

And all this is why bringing in a facilitator can make all the difference in the world when you’ve put resources into bringing your best and brightest into the room for the day, or even the hour. Having someone who asks the potentially uncomfortable questions, who takes a step back and clarifies what’s being decided, is exceptionally valuable.

Should You Hire a Graphic Recorder? Ask Yourself These Questions to Decide

As tempting as it is to impress upon you, my lovely readers, that really there’s never a bad time for a graphic recorder, some events and meetings are better suited than others to have visual support. So, to help you decide if bringing in a graphic recorder is a good idea, here are some guiding questions for you and your team:

What are my goals for this event?

Do you want to co-create a strategic plan? Brainstorm and prioritize new ideas? Bring together a new group and hope they leave as a team? Share the state of the science for your field?  If there’s complex information, you want to get a group on the same page, or keynote presentations that can inform future discussions, graphic recording is right for you.

It may not be a good fit if there will be back-to-back presentations with lots of slides and little or no time to discuss the content*, or you’re only looking to get caricatures of everyone on the team. A graphic recorder’s number one goal is to capture key content in a way that makes it more accessible to the group, which often means an illustration, but not always. And if there will be simultaneous sessions you want captured, then plan to hire a team of recorders.

*An exception would be if you plan to build on the content later.

Why am I considering a graphic recorder?

Do you want to engage people during technical discussions? To keep them collaborating after the event? To work through a complex challenge? To make your event or meeting stand out amongst a sea of others? Finding someone who has the right amount of technical understanding and can design work that will truly support the group as they move forward can be integral to the success of the group.

Will we need to look at or build on this later?

Graphic recording provides succinct maps of the conversation or presentations that are actually interesting to look at and build on. I also work with each of my clients to create a tailored list of suggestions for how to leverage the charts after the event. What action (if any) is desired after the event? How can you keep people engaged and motivated around the meeting ideas? How will people communicate what they’ve learned to those who weren’t there? Graphic recording can be an extremely powerful tool not only during, but long after the event when used well.

How well does this group know each other? Are they good at collaborating already, or are they newly formed? Is there history?

Graphic recording can be a power boost tool for established groups, and can be even more powerful for new groups just forming. When people see their ideas and know others in the group also see them, they feel heard, and move from thinking of it as “my idea” to “our ideas”. Facilitating this kind of collaborative thinking early on in the team’s existence can save time, build trust, and get things moving faster, even if there is “history” or “baggage” between some group members.

Am I looking for someone to design the process & be a neutral lead in the discussion too?

If so, you’re looking for a facilitator, which is great! Graphic recorders are wonderful team players and work well with facilitators to more deeply understand the process and create visuals to support the group.

One more thing…

Keep in mind that if you’ve roped in a good graphic recorder, the sooner you engage with them in the meeting design process the better as we can help you figure out where in the agenda graphic recording can provide the most for your participants. Of course, we’re really flexible and good at adapting on the fly, so if it’s a last-minute decision, we can usually roll with it and still rock your world.

Last week I had the distinct pleasure of a new experience with my US Forest Service clients – I got to camp out with them before graphic facilitating a mostly-outdoors retreat! An inspiring and beautiful location can go a long way for inspiring innovative and collaborative ideas!

How to Make the Most of Meetings

No matter who you are or where you work, you go to meetings. There is a spectrum of how you feel about meetings. It looks like this:

My goal with this post is to move you, at least a little, from the eel side to the OMG side of things by sharing some tips on how to make your meetings effective, useful, and fun.

Purpose.

  • Always have a clear goal or purpose for the meeting, and make sure everyone knows.
  • Always have an agenda (even if it’s just “5-minute update from both teams”). Again, make sure everyone knows.

Timing.

  • Create an expectation that meetings start and end on time, and stick to it.
  • Limit meetings to 30 minutes and see what you can actually do with that focused time.
  • Start meetings at an unusual time, like 1:36 pm.
  • How do you make sure to stay on time? Read on…

Technology.

  • Place a Phone Basket by the door and have everyone, including leadership, put their phones in there.

Consequences.

  • To ensure these guidelines are respected, institute consequences – positive or negative – for behaviors that support or undermine being on time.
  • For example, if you’re late, do 10 pushups for every late minute or you have to sing a song in front of the group.
  • If you are the reason a meeting goes long, you have to buy a round of drinks for everyone, or bring coffee for everyone next time.
  • If a phone rings during the meeting, the person needs to make a donation to a non-profit of choice.

Bring in a graphic recorder or graphic facilitator.

  • Your team will be able to wade through complexity more quickly and easily by seeing the conversation take place in front of them.
  • People stay engaged and better remember key ideas from the meeting.
  • Seeking connections and working collaboratively become second nature to the group.
  • Having a tangible map of what was achieved helps keep people focused and action-oriented after the meeting is over.

To me, the key for success here is building these behaviors and expectations into the organization’s culture.

Use These Techniques to Diffuse A Tense Scenario at Work (or at Home)

One of the exciting things about being a facilitator is that you get to work with people. And people are not always predictable, which may leave you in the midst of a conversation that heated up real quick, and all eyes are on YOU to see how you’ll handle the situation.

You’ve got to think quickly, act compassionately, and get the group back on track without saying something that will completely shut individuals or the group down. (And at this point your client is super pumped they made the savvy decision to bring in a facilitator for this meeting instead of having to be the one in the hot seat.)

What do you do? This week I’m sharing some tips from the lovely and talented Carrie Bennett on how to “Unload Loaded Language”.

  1. Stay calm!  This isn’t about you.  It’s your job to help people hear and understand one another, not weigh in on the merits of their ideas. 
  2. Dig through the negative to find what the person DOES want.  Buried in their statements is something even their “opponent” can probably support in some way (try to find the interest behind their position).  The more you know about the issues, the more easily you can do this but you don’t need to be an expert.  Listen for what’s important to people.
  3. Translate the loaded language into something more neutral. Try to preserve the interest and check back to get the speaker’s agreement before you go on.

Give it a try…how can you re-frame these statements to be more neutral?

  • Melanie is such a slob.  I can’t even work with her because I’m always having to clean up her messes.  I’m not her maid!
  • You know, these freeloaders aren’t even trying.  They’re just happy to live off the government and let the rest of us foot the bill.  If they really wanted a better life, they would get off their @$$*$ and get a job.

The first week of April we got to take some time off and float through Cataract Canyon in Utah. I love rafting because I get to disconnect completely, be present, and enjoy the beauty of the Canyon and my friends. I always try to sneak in a bit of plein air watercolor, and waiting for the shuttle was a perfect moment to do a quick sketch.

Since we got back from Cataract, it's been full on video production here at ConverSketch HQ. Here's the one I finished up last week -- and hopefully you'll get to see another one in the next post as well.

You've Got The Power!

This time of year is all about giving. And while it can be overwhelming between the list of presents, party hosting, wrapping up work and spending time with loved ones, remember that you always have a gift to share. And it doesn’t cost a thing! In fact, you’ll probably benefit from the whole thing too.

Never underestimate the power of a smile or a kind word.

Whether it’s to a stranger on the street, the folks you work with every day, or the person returning grocery carts from the parking lot to the front of the store, a smile or saying something nice can make a world of difference. And it costs nothing. And you’ll feel better too. Win/Win/Win.

My father-in-law does this really well – he always has a funny quip and a kind word for people who tend to be over-looked. I love watching these interactions because sometimes it takes people a moment to realize he’s joking with them, but they always end up with a big grin on their faces.

So, this month while it’s tempting to be caught up in your own stress or to be grumpy that you have to wait in long lines, try turning that frown upside-down and giving a word of praise or appreciation, and see if you can create a ripple effect around you.
